This privacy notice provides details of how we collect, store, use and protect your personal information as well as the rights you have in relation to that personal information.
By doing business with Hafren Resourcing you are consenting to us storing and using the information in the ways set out by this notice.
How we collect your personal information
In the course of our work, we will ask for information that is classified as personally identifiable to you as an individual. When working with you and as in the nature of recruitment we share a trusted relationship and you will share confidential information with us during the course of our work.
We collect your data in two ways:
- E-mail exchanges. These will be stored online and there may also be a printed paper copy.
- Our notes from our meetings and telephone conversations and the extra information (paper, digital) you provide over the duration of the project/assignment.
How we store and destroy your information
We have always been scrupulous about protecting our clients and candidates’ data, regardless of GDPR regulation. We do not retain out-of-date or superfluous personal or organisational data.
Our digital documents and emails are stored in password-protected files that only we have access to. We make every effort to keep our anti-virus software up to date and our offices secure.
We shred cvs and notes/feedback once the assignment is complete and do not maintain a candidate management system or database online or via the cloud.
Information given and exchanged via email may be held which we endeavour to cleanse on a regular basis.
We store used day/notebooks for one year, in the office, together with all our financial records such as copies of invoices and contracts.
Passing information on to third parties
We will never sell your data to third parties.
We will never pass any of your information on to any third party without your express permission. If you are a candidate, we will always advise you as to whom we are sharing your data/information
If we are introducing you to another contact within our network, perhaps for a potential business or career opportunity, we will only share your details once we have your permission.
All the information you give us is treated in the strictest of confidence.
Your rights
If you have already consented to us using and holding your personal information you are within your rights to withdraw this consent at any time by the same way in which your consent was granted. You also have the right to apply for a copy of any information that we hold about you, through a data subject access request. Please email: [email protected]
You will not normally have to pay but we reserve the right to charge a reasonable fee if your request is repetitive or excessive. Alternatively, we may refuse to comply with your request in these circumstances.
If you are not happy with any aspect of how we collect and use your data, you have the right to complain to the Information Commissioner’s Office (ICO), the UK supervisory authority for data protection issues (www.ico.org.uk). However, we ask that you please contact us first so that we can try and resolve the issue for you.
